Preprints
Aligned with the Open Science movement, our journal supports the use of preprint servers and accepts manuscripts previously stored on reliable servers, such as SciELO Preprints: https://preprints.scielo.org/index.php/scielo/user/register.
The journal supports the use of institutional repositories to deposit versions of your article, as well as deposit repositories aimed at the preservation, dissemination and reuse of data, such as SciELO Data: https://data.scielo.org/ and Sherpa/Romeo: https://www.sherpa.ac.uk/romeo/
In both cases, the journal must be informed on the storage of preprint and/or data in the repository during the submission process.
Peer Review Process
The editorial process of Encontros Bibli adopts the double-blind peer review. However, authors and reviewers will be offered options to open the peer review process, with or without identifying their names. Authorization for disclosing the name may be given by the authors at the time of submission of the article and by the evaluators when completing the Evaluation Form.
All originals are pre-evaluated by the editors considering their originality, contribution, pertinence, thematic validity, general structure, and compliance with editorial policies. If these criteria are not met, the authors will be informed within 15 days of the rejection and termination of the article.
Upon a positive evaluation, the approved manuscript will be referred to two external referees who will be responsible for the analysis, approval (with or without changes), or rejection of the manuscript within 30 days. If needed, the editors might request the participation of other evaluators. The editor responsible for the manuscript evaluation process will inform the author of the “Acceptance without changes,” “Acceptance with small adjustments,” “Required corrections” (and another referees’ analysis round), or “Rejection” and termination.
In the cases of “Acceptance with small adjustments” and “Required corrections” (and another round of referees’ analysis), the author will have 30 days to send the reviewed manuscript to Encontros Bibli, along with a document commenting on the changes. The editor responsible for the manuscript evaluation process will send the evaluators an updated version of the manuscript and the document containing the comments and/or justifications to check whether the reviewed text met the referees’ requirements, and then establish if it can be accepted, or rejected, or still requires changes.
If the final decision is to reject the manuscript, the author will be informed of the reason for the rejection and the manuscript will be terminated.
If the text requires only grammar, spelling, and normative changes for publication homogeneity, the editors are entitled to perform such changes, respecting the author’s style. In other cases, the author will redraw the text according to the requests of the journal.
The editors are entitled to reject works whose content is significantly like other works in any part of the process (plagiarism), identified by the Ithenticate software of plagiarism detection.
The average response time between the acceptance of the original and the publication confirmation is approximately 150 days.
Open Data
Data are scientific records that validate research results. Research data vary according to the knowledge area and encompass textual documents, spreadsheets, statistics, laboratory reports, field reports, journals, questionnaires, transcriptions, audio and video files, photographs, methodologies, research workflows, partial reports, and other materials elaborated and/or collected throughout the research. All data are supported by the FAIR (Findable, Accessible, Interoperable, and Reusable) principles.
Encontros Bibli Journal instructs that all research data and codes are shared and published on a reliable repository. Therefore, we strongly recommended that all data be stored on SciELO Data upon the approval of the manuscripts based on the Guidelines for research data storage.
In case the data are hosted in a public repository, it must be indicated on the article by the repository name, data identification number, direct URL to the data, and DOI.
Fees
Encontros Bibli charges no fees for the submission or processing of articles (APCs).
Cataloged in the source by the University Library of the Federal University of Santa Catarina.
Ethics and Misconduct, Correction and Retraction Policy
The editor must act upon identifying any suspicion or allegation of misconduct. The investigation will cover both submissions and published articles.
Encontros Bibli uses the COPE flowcharts instrument to ascertain facts and determine actions required for the resolution of cases, in addition to the Guidelines for registering and publication of retraction by SciELO.
Policy on Conflict of Interest
Conflicts of interest can be personal, commercial, policy, academic, or financial and emerge when authors, reviewers, or editors have interests that might influence the elaboration or evaluation of manuscripts. Upon submitting the manuscript, the authors are responsible for acknowledging and disclosing any financial conflicts or any other nature that might have influenced the research. Upon any conflict of interest, although potential, the author(s) must inform through a specific document signed and annexed to the submission platform.
The process of evaluating a manuscript involves both authors and reviewers and the editorship of Encontros Bibli Journal has a strict policy to avoid any personal relationships, of either friendship or hostility, as well as to compromise both people and institutions.
This procedure aims at the reliability of the analysis process of the submitted material, thus enhancing the credibility of the published articles. Thereby, we instruct the authors and reviewers to contact the Editorial Council of the Journal in cases of a) personal or institutional bonds and conflicts (of a family or partisan nature) between reviewers and authors and b) any financial support for the research development that might jeopardize the reliability of the produced material. If there is, even potentially, a conflict of interest, the author(s) must inform it in a signed document attached to the submission platform. Gender and Sex Issues
The editorial team of Encontros Bibli, in addition to the authors who publish in the journal, must observe the guidelines on (Sex and Gender Equity in Research SAGER). The SAGER guidelines comprise a set of guidelines that guide reporting of information about sex and gender in study design, data analysis, and results and interpretation of findings. In addition, Encontros Bibli observes the policy of gender equity in the formation of its editorial board.

Ethics Committee
Based on Resolution nº 510, April 7, 2016, defining the regulations applicable to research in Human and Social Sciences. All manuscripts with the selection of participants and data collection involving human beings must be accompanied by a copy of the approval of the Research Ethics Committee.
Copyright and Intellectual Property and Terms of Use
According to the recommendations of the Open Access movement, this journal offers its content in Full Open Access. Thus, all authors have their rights preserved, allowing Encontros Bibli to publish their articles and disseminate them to the entire community.
The content of Encontros Bibli is licensed by a Creative Commons 4.0 License CC BY.
Any user is entitled to:
- Sharing – copy, download, print, or redistribution of the material in any support or format.
- Adapting – remixing, transforming, and creating based on the material for any purpose, even commercial.
According to the following terms:
Assignment – The author must assign the proper credit, provide a link to the license, and indicate whether changes have been made. It must be done in any reasonable circumstance but without suggesting that the licensor should support the author or the license use.
No extra restrictions – Legal terms or measures of technological nature that legally restrict others from any action allowed by the license are not permitted.
About use of AI, Generative AI, and LLMs in the Encontros Bibli Journal
Artificial Intelligence Use Policy at Encontros Bibli
The Encontros Bibli Journal recognizes the growing impact of Artificial Intelligence (AI), Generative Artificial Intelligence (GAI), and Large-Scale Language Models (LLMs) technologies on scientific communication. To ensure the integrity, transparency, and reproducibility of publications, the following is established:
Permitted Uses
The use of AI, GAI, and LLMs is permitted for supporting purposes, never for authorship purposes, provided it is accompanied by human validation and duly declared. The following uses are acceptable:
1. Support for scientific writing:

Linguistic and stylistic review (spelling, grammar, textual clarity);

Support for the initial structuring of manuscript sections (e.g., organizing topics in the introduction or methods);
- Assisted translation, with human review.
Note: In these cases, human review is mandatory to avoid bias, misinterpretations, and language errors. Citations suggested by AIs should never be used without checking the original materials (to avoid false references).
2. Production of visual elements and graphics: generation of tables, charts, and/or figures that reflect the research data, provided they have been reviewed and approved by the authors and are consistent with the research.
3. Methodological support: suggestions for computer codes, scripts, or simulated experimental protocols, provided they are validated and described as supporting tools.
4. Reference management: assistance with standardization, format verification, or bibliographic standardization, always with review by the authors. The author must verify that the data has not been distorted. If Frankenstein-like references are found, the article will be rejected, as this is a strong indication that it was not subject to human supervision.
Mandatory Declaration
Any use of AI, AGI, or LLMs must be explicitly disclosed in the Methodology section, specifying the tool, the version used, and the purpose (for example: "ChatGPT, version XX, was used to assist in the linguistic review of the manuscript"). This information must also be added to the Publication Data document, which must be submitted with the article.
Responsibility and Authorship
EB follows COPE guidelines; therefore, AI, IAG, or LLMs cannot be considered or cited as authors. Responsibility for the integrity, originality, and accuracy of the content lies solely with the human authors. Encontros Bibli prohibits AI as co-author or corresponding author.
Academic Integrity
The use of AI must not violate Encontros Bibli's plagiarism policy or academic integrity. The use of AI must not result in plagiarism, fabrication, or falsification of content.
Academic research must be original, with ideas, data, or texts from third parties duly cited.
The use of AI does not exempt authors from responsibility for the content generated. It is the authors' responsibility to critically evaluate the tool's outputs, ensuring their accuracy, originality, and methodological adequacy. Authors must also consider and declare the associated risks, including algorithmic biases, technical limitations, and potential ethical implications related to the use of sensitive data.
The use of AI on personal/sensitive data is only acceptable if it complies with ethical and legal privacy standards; otherwise, it is prohibited.
Use of AI by Reviewers
The EB prohibits reviewers from inputting manuscripts or parts thereof into AI tools, even to improve language or readability, due to confidentiality, privacy, and copyright concerns.
It establishes that the critical and original evaluation of the manuscript must be performed exclusively by humans. AI cannot replace human judgment in reviewing.
Responsibility for the critical evaluation and integrity of the review remains solely with the human reviewer.
Sanctions
The misuse of Artificial Intelligence (AI) tools, as well as the failure to use them, constitutes a violation of Encontros Bibli's editorial and scientific integrity standards. Depending on the severity of the case, the following measures may be applied:
- During review: request for clarification, correction, or immediate rejection of the manuscript;
- After publication: Issuance of an editorial correction or formal retraction, depending on the severity;
- Additional measures: Reporting the incident to the affiliation institutions or funding agencies, and temporarily restricting future submissions by the authors involved.
In all cases, full responsibility falls on the human authors.
